The Assistant Director, in consultation with the Director, is a leadership position which is responsible for the strategic planning and management of recruitment and admissions, marketing, day-to-day program administration, and alumni relations of the Post-Baccalaureate Premedical Program. This position also works directly with the program’s students, providing one-on-one and group advising. This is a full-time 33-hour per week position.Specific Duties & Responsibilities:35% - Program Management
30% - Admissions and Recruitment
- Create, organize, and present programs for students including new student orientation, workshops, informational sessions, advising seminar series, fairs, panels, social events. Review and adapt to meet changing needs of students and medical school admission practices.
- Forecast academic needs and manage student academic enrollment.
- Act as primary contact with KSAS Registrar’s Office.
- Manage post-baccalaureate certificate completion and award process.
- Oversee and be primary contact for experiential learning opportunities for students, including medical tutorials at the School of Medicine and intersession programs at area hospitals.
- Research and provide information on appropriate volunteering opportunities.
- Coordinate health insurance coverage for students as needed.
- Act as liaison to medical school admission personnel and foster beneficial relationships.
- Responsible for medical school linkage application process as primary contact to linkage medical schools.
- Recruit, hire, and supervise tutors annually for general chemistry, organic chemistry and physics and monitor student attendance and quality of tutoring.
- Recruit and hire MCAT instructor annually; Monitor attendance and quality of course.
- Provide guidance for program’s academic coordinator.
- Lead creation, implementation, and analysis of student program evaluations - make recommendations and implement changes.
- Participate as needed in committee letter writing for students’ applications to medical schools.
- Establish and maintain excellent relationships with academic and administrative campus offices.
- Coordinate catering for events.
25% - Advising
- Lead admissions process including relevant deadlines, policies, application, and application reviews
- Perform data analysis on admission numbers and trends
- Project yields and strategize enrollment
- Communicate with and counsel applicants and potential applicants about program specifics, eligibility, admission process and policies
- Review applications, assess applicants’ fit for program and recommend applicants for interview
- Conduct applicant interviews and make admission recommendations
- Act as member of admissions committee in final selection of applicants.
- Recruit admitted students through ongoing communication
- Plan and organize events
5% - Marketing
- Pro-actively provide student-centered advising to current students as well as alumni in the medical school application process.
- Advise through group workshops and individual meetings on coursework, linkage program, tutorials, medical admissions process and requirements.
- Review and advise on medical school applications to accurately and effectively represent students’ candidacies.
- Review and edit application essays.
- Conduct mock interviews.
- Participate in professional development and professional organizations so to enhance advising for students.
5% - Alumni Relations
- Develop and manage active website, including both written and video content. Provide updates
- Develop and coordinate production of print advertising for selected markets
- Manage advertising placement
- Develop and coordinate production of print marketing pieces.
- Manage Facebook page. Monitor content and post weekly
Minimum Qualifications (Mandatory):
- Act as primary contact for alumni. Track alumni’s medical school and professional progress and promote engagement with the program
- Recruit alumni to act as informal program ambassadors with admitted applicants and current students
- Collect and maintain alumni data and create reports
- Connect alumni with current students to facilitate development of professional opportunities and growth
- Plan, develop, and produce an alumni newsletter or other form of communications
- Master’s degree is required.
- Minimum of two years in an advising/counseling capacity.
Special Knowledge, Skills, and Abilities:
- Four years of experience is highly preferred.
- Experience writing committee or recommendation letters and admissions experience preferred.
- Knowledge of higher education administration and advising.
- Ability to initiate, manage and prioritize multiple projects.
- Excellent verbal and written communication skills.
- Ability to establish and maintain relations with external partners and campus departments.
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
- Knowledge of database software is preferred.
- Some knowledge of the medical school admissions process is helpful.
